A manufacturer of complex industrial components offering its products to B2B customers via a company website. The client was looking for a solution to streamline the handling of inquiries, qualify leads, and educate customers about product capabilities.

Challenge

Sales departments often receive numerous inquiries through the company website—questions about product details, availability, configuration options, pricing, and more. Responding to each question individually is time-consuming, and outside business hours, potential customers often receive no response at all.

Our client needed a way to quickly handle basic customer questions online and encourage further contact, while also capturing valuable sales leads. Another key goal was customer education—many prospects were unaware of the full capabilities of the products or required guidance to make informed decisions.

The company needed a tool that would:

Solution

We implemented an AI-powered chatbot on the company’s website. The bot was enriched with extensive knowledge about the company’s offerings—it was granted access to the product catalog, technical specifications, pricing lists, and frequently asked questions. Leveraging natural language processing techniques, the chatbot is able to engage with customers like a knowledgeable advisor. It can respond to questions such as “What’s the difference between models X and Y?” or “Which product is best for application Z?” with detailed yet easy-to-understand answers, referencing specific data from product documentation.

When a customer expresses interest, the bot can offer to send additional materials—prompting the user for an email address. With the user’s consent, it automatically sends a tailored package of information (such as a PDF brochure or a customized quote) based on the conversation. At the same time, details about the potential lead—along with a transcript of the conversation—are sent to the sales department’s CRM system, enabling sales reps to follow up with a personal touch promptly.
