Client

The German company ergosoft has been developing software solutions for psychotherapy practices for 24 years. Their product portfolio facilitates the work of thousands of psychotherapists and healthcare institutions throughout Germany.

Challenge

We began our collaboration with ergosoft in May 2021. Our assignment was to drive the technological development of their core product. Since 1999, “psychodat” has supported general management for psychotherapy practices, including features like appointment scheduling, documentation, and billing with Krankenkasse (health insurance providers).

The initial challenge was to modernize the software technology, which had naturally “matured” over the years. The overarching goal was to implement modern technologies that would ensure our client could expand their product portfolio in the evolving healthcare market without facing significant technical limitations.

We were also tasked with optimizing our client’s holistic management system and improving the application’s overall user-friendliness.

Our technical expertise, close collaboration with the client’s internal team, and growing understanding of both the product and the healthcare industry enabled our developers to take on additional development tasks outside the main project scope—contributing directly to enhancements of the client’s core product.

Progress

After a thorough analysis, we identified two key areas in need of improvement: the lack of intuitive design and the overly complex billing processes. Based on these findings, we concluded that the best approach was to redesign the application to simplify the overall user experience (UX).

Our core responsibilities included creating user flow maps, wireframing, visual design, and implementation. For this process, we used Adobe XD as our primary design tool.

The smooth and trust-based collaboration with VM.PL has been made possible through regular meetings between our developers and the VM.PL team, and the client’s leadership and development teams. These efficient online sessions provide all participants with insights into daily task reports and interim development outcomes.

Result

As a result of this process, we developed AMBO—a new application dedicated to billing services. Its primary goal is to streamline and organize key processes within psychotherapy practices. A crucial feature is the ability to automate billing procedures with Krankenkasse (health insurance providers).

The visible results of the current project, along with excellent communication between VM.PL, the developer, and the client’s team have led to high client satisfaction. Plans are already in place to expand the collaboration through future projects and to further enhance the client’s overall development capabilities.
